PRIVACY POLICY
This policy explains what happens to the details, messages and artwork you send when contacting Cup Heroes or asking for a quote.
What we collect
A contact message can include your name, email address, optional phone number, subject and message. A quote enquiry can also include a company or event name, date needed, notes, selected products and quantities, artwork files and price match details.
The server also processes the request address and a short-lived anti-spam proof. The address is hashed before it is used for the temporary rate limit, and the raw value is not added to the enquiry email.
Why we use it
We use the information to answer your message, price requested cups, assess artwork, check timing and manage any order that follows. We also use the minimum technical data needed to stop repeated or automated submissions.
Sending a contact message or quote enquiry adds your name, email address, phone number and, for a quote, the cups and quantities you asked for to our customer list in Brevo. We use it to follow up your enquiry and any order. If we ever email you marketing from that list, every message includes an unsubscribe link.
Who handles it
The contact and quote forms run on the Cup Heroes website, hosted by Vercel, and send completed enquiries through Brevo as our transactional email provider. Brevo also holds our customer list, where your contact details and enquiry summary are stored.
We share the information only where needed to deliver and answer the enquiry, comply with the law or protect the website from abuse.
Artwork and retention
Artwork is checked in the request and attached to the enquiry email. The website does not place it in a separate permanent file store.
Contact messages and quote records are kept only for as long as they are needed to answer the enquiry, supply an order and meet legal or accounting obligations. Email attachments follow the retention settings of the business mailbox.
Your choices and rights
You can ask for access to your information, ask for inaccurate details to be corrected, or ask us to delete or restrict information where the law allows. You can also object to a particular use.
If you are unhappy with how your information is handled, you can contact us first or raise a concern with the UK Information Commissioner's Office.
